PROGRAM OVERVIEW

A ~47-guest corporate incentive group came to Oahu to combine employee recognition with business sessions — reward and work on the same days. The program had to sequence meetings, banquets, transfers, and free time without any one stepping on another.

AGT owned the ground program end to end: a 5-star Oahu room block held and managed, meeting and function space coordinated with the property around the schedule, banquet dinners and group dining timed to the sessions, airport meet-and-assist and transfers, and curated free time and optional touring — one point of coordination so the planner ran the meeting, not the logistics.

THE OPERATIONAL CHALLENGE

An incentive built around meetings and banquets has to make reward and business fit the same days. Four things had to be handled.

1.

Reward and Business, Same Days

Sessions, meals, and free time had to be sequenced so the group could work and be rewarded without the day feeling over-programmed or idle.

2.

Function Space and Banquets

Meeting space and banquet dining had to be coordinated with the property around the program schedule.

3.

A 5-Star Block, Managed

A premium room block carries premium expectations — it had to be held, assigned, and managed for the group.

4.

Transfers, Touring, and Free Time

Movement had to work around fixed business sessions, with curated free time and optional Oahu touring.

PLANNING & PREPARATION

AGT planned the program around the business agenda, reconciling a 5-star room block, function space, banquet dining, and transfers against the sessions and free time.

With one property and one coordinator, planning concentrated on sequencing: when sessions ran, when banquets were served, when the group moved, and when free time opened.

Banquet & Dining Timing

Banquet dinners and group dining timed to the business sessions.

Transfer & Touring Windows

One Coordinator

A single tour-coordinator managed movement and timing throughout.

EXECUTION — THE AGT SOLUTION

On the ground, AGT owned the ground program — hotels, function space, dining, and movement — so the planner ran the meeting, not the logistics. Guests were met with meet-and-assist and transferred to a 5-star Oahu resort.

Across the program, function-space business sessions, banquet and group meals, curated free time, and optional Oahu touring were sequenced by a single tour-coordinator, with departure transfers to close. AGT runs incentive-and-meetings programs as part of its Hawaii corporate incentive services.

LESSONS LEARNED

An incentive-plus-meetings program is a sequencing problem — fit sessions, banquets, transfers, and free time to the same days before booking anything.

Function space and banquets have to be coordinated with the property around the agenda, not the other way around.

A premium room block carries premium expectations; hold and manage it as part of the program, not a side booking.

One coordinator owning hotels, space, dining, and movement lets the planner run the meeting instead of the logistics.
