PROGRAM OVERVIEW

An incentive trip that also has to run a meeting is two programs in one — a reward experience and a business event — and they share the same days. A corporate group of about 47 came to Oahu to recognize top performers while also holding function-space sessions and banquet dinners.

The program needed a 5-star room block, meeting space, banquet and group dining, transfers, and curated free time, all coordinated so the business component and the reward experience fit together without colliding. AGT coordinated the ground program end to end under a single point of contact.

INCENTIVE + MEETINGS CHALLENGE

A combined incentive-and-meetings program has to balance reward and business across the same days. Four things have to fit together:

1.

Reward and Business, Same Days

A meeting component and an incentive experience share the calendar; sessions, meals, and free time have to be sequenced so neither crowds the other.

2.

Function Space and Banquets

The program needs meeting/function space and banquet dining coordinated with the property and around the group’s schedule.

3.

A 5-Star Block, Managed

A premium room block has to be held and managed for a group expecting a high-end experience.

4.

Transfers, Touring, and Free Time

Airport transfers, optional touring, and curated free time have to wrap around the business sessions.

AGT SOLUTION

AGT coordinated the program as one operation on Oahu. We managed the 5-star room block, coordinated function/meeting space and banquet dining with the property, and sequenced the business sessions, meals, and curated free time so the incentive experience and the meeting component fit together.

Airport meet & assist, transfers, optional touring, and a tour coordinator supported the group throughout. One point of coordination owned the ground program — hotels, function space, dining, and movement — so the planner ran the meeting, not the logistics.
