PROGRAM OVERVIEW
A 118-guest affinity group came to Oahu for ten days on a fully-loaded itinerary — and a program this size lives or dies on transportation. Every day, 118 people had to be moved on schedule from a single Waikiki hotel base.
AGT operated the entire ground program: airport meet-and-assist, daily charter transportation with up to five movements on the busiest days, full-day touring across the island, luau and group-dining transfers, and accessibility accommodation for guests using wheelchairs and scooters — all owned by one on-island team for the full ten days.
For the method behind stops like these, see our guide to Pearl Harbor group logistics. For the lodging methods, see our guide on group room block and rooming list planning.
THE OPERATIONAL CHALLENGE
A fully-loaded ten-day itinerary for 118 people from one hotel base concentrates the difficulty on movement. Four things had to be handled.
1.
118 People, Moved Every Day
A group this size can’t move as one bus; each day’s activities required charter transportation dispatched and sequenced so all 118 got where they needed to be, on time.
2.
A Fully-Loaded 10-Day Itinerary
Ten days of touring — circle island, Pearl Harbor, the Polynesian Cultural Center, a film-location ranch, snorkeling, Diamond Head — had to run without logistics gaps.
3.
Accessibility for Every Guest
Guests using wheelchairs and scooters had to be accommodated on every movement, not just some.
4.
One Hotel Base, Constant Turnaround
A single Waikiki hotel meant constant pickups and drop-offs, reconciled to one group across up to five moves a day.
PLANNING & PREPARATION
AGT planned the program backward from the ten-day itinerary and the group manifest, reconciling up to five daily movements, full-day activities, and accessibility needs against a single Waikiki hotel base.
With one island and one hotel, planning concentrated on the transportation grid: which charters, in what order, feeding which activities, so 118 guests — including those using mobility devices — never waited on logistics.
Manifest & Accessibility
The program was built from the 118-guest manifest, including guests using wheelchairs and scooters, so every movement accommodated the whole group.
Daily Movement Grid
Up to five charter movements a day were sequenced to the day’s activities from one Waikiki hotel.
Full-Day Activity Timing
Ten days of touring were timed to open hours, travel time, and the evening luaus and dinners.
One On-Island Team
A single operations team owned dispatch and turnaround for the full ten days.
EXECUTION — THE AGT SOLUTION
On the ground, AGT operated the entire ground program, moving 118 people on schedule, every day, for ten days. Guests were met at the airport, transferred to a single Waikiki hotel, and moved from there through a fully-loaded itinerary.
Charter transportation ran up to five movements a day across circle-island touring, Pearl Harbor, the Polynesian Cultural Center, a film-location ranch, snorkeling, and Diamond Head, plus luau and group-dinner transfers — with accessibility accommodated on every leg and one on-island team owning the turnaround. AGT runs large-group Oahu programs as your Hawaii DMC and ground operator.

LESSONS LEARNED
A 100+ group on a fully-loaded itinerary is a daily dispatch problem — build the movement grid before the sightseeing.
Accessibility has to be planned into every movement, not added to some; size and route vehicles for it from the start.
One hotel base simplifies rooming but multiplies turnaround — plan for constant pickups and drop-offs.
A single on-island team is what keeps up to five daily movements reconciled to one group.
