This corporate incentive program was designed to reward top-performing employees with a multi-day Hawaii experience combining sightseeing, cultural activities, dining events, and coordinated transportation across Hawaii Island.

The client required a single partner capable of managing nearly 200 guests, multiple arrival windows, transportation providers, activity operators, and dining venues while maintaining a seamless guest experience throughout the program.

ARRIVAL OPERATIONS

Coordinating Nearly 200 Guest Arrivals Across Multiple Days

Day 1–3: Guest Arrivals & Transportation Coordination

Guest arrivals were coordinated across multiple days and dozens of individual flights arriving into Kona International Airport. To ensure a seamless experience, each arriving guest received personalized transportation based on arrival schedules, group size, and service requirements.

Transportation included a combination of executive SUVs for VIP guests, private minivans, Mercedes Sprinter vans, and full-size motorcoaches. Flight manifests were continuously monitored throughout the arrival period, allowing transportation assignments to be adjusted in real time when delays, schedule changes, or early arrivals occurred.

Upon arrival, guests were welcomed by dedicated airport meet-and-greet staff who provided check-in assistance, coordinated luggage handling, and escorted guests directly to their assigned transportation. Real-time communication between airport staff, transportation providers, event management personnel, and client representatives ensured every arrival was tracked from touchdown through hotel check-in.

Over the course of the arrival program, nearly 200 guests were successfully transported to the host resort while maintaining personalized service, accurate guest tracking, and operational visibility across all stakeholders.

Dining logistics extended beyond simple reservations. Breakfast, lunch, and dinner services were coordinated across multiple activities, transportation schedules, venues, and guest groups. Planning included restaurant reservations, meal deliveries, guest count management, dietary communication, vendor coordination, and large-group dining arrangements throughout the program.

Coordinating Nearly 200 Guest Departures Across Multiple Flight Schedules

Departure transportation was coordinated based on individual flight schedules, guest counts, and vehicle requirements. Transportation manifests were developed to align with airline departure times while maximizing vehicle efficiency and maintaining guest comfort.

Flight schedules were continuously monitored throughout the departure period to identify delays, schedule changes, and operational adjustments. Transportation assignments were updated as needed to ensure guests arrived at the airport on time and according to airline requirements.

Guests received organized departure instructions, scheduled hotel pickup times, and coordinated transportation to Kona International Airport. Real-time communication between transportation providers, event management teams, and client stakeholders helped maintain visibility throughout the departure process.

Nearly 200 departure movements were successfully managed while maintaining accurate guest tracking, efficient routing, and a seamless conclusion to the program.
